PATIENT INFORMATION

MedRay prides itself as a customer service driven organization. And, we are here to serve the public and their Medical Imaging needs. As such, we adhere to a strict code of conduct and best practices for health care. Please review the following elements prior to arriving at MedRay.

If you have a requisition and you wish to book an appointment, please call and we will provide further direction. 

No Show and Late Arrivals

Due to the high demand for MedRay's services, you may be billed $75 for appointments cancelled with less than 24 hours' notice.

MedRay follows the ACR/CAR guidelines for appointment duration. Please plan to arrive a minimum 15 minutes before your scheduled appointment time to account for check in processes.

 

Partners and Family Members for Obstetric Ultrasound Exams

Only 1 guest may be permitted into the procedure room for the final 5-10 mins of "Show and Tell". We appreciate your understanding. 

Childcare

Please make childcare arrangements for your children. Children under 12 are not permitted in ultrasound procedure rooms, unless they are the patient. 

 

Revealing Gender

MedRay will only reveal the gender of the fetus after 20 weeks gestation. Gender accuracy cannot be guaranteed.

 

Filming, Photography, and/or Streaming Video (such as Zoom or FaceTime)

In conjunction with the sonography regulatory body, Sonography Canada, no photography, videography, or video streaming (such as Zoom or FaceTime) are permitted during the exam or while in the Clinic. 

 

Release of Information

We can provide you copies of the results of your test upon completion of an "Authorization for the Release of Personal Records" which is available from our clinics. Due to rules outlined by the College of Physicians and Surgeons, we will provide copies of your results 7 – 30 days after your visit to provide enough time for your physician to receive the results. Out of respect for your privacy, we require proof of identification at the time of pickup.

Reports are at no cost. CD’s of your images and reports is subject to a $20 fee per study ($40 for expedited access). 

Please complete the Release of Information request form and fax it to 604.942.4612.

Requisitions

A completed requisition from your physician or nurse practitioner is required for all exams and must be brought with you. Otherwise, we will need to reschedule your exam.

Identification

You will be required to present your medical card (BC Care Card or equivalent from other provinces) upon check in. We require two pieces of ID, one of which must be your Care Card, for each visit to MedRay.

 

Cost of services

All services other than MRI are covered by MSP (or equivalent from other provinces other than Quebec).

If you do not have medical coverage or your exam is for non-medical reasons (for example, employment screening exams) then, you will be charged an amount set by the British Columbia Medical Association.

 

Clothing, Valuables, Cell Phones
 

We recommend you wear loose fitting clothing. Please leave your valuables at home or locked in your car, if possible. Purses and cell phones should be kept with you at all times.

 

Exam Results
 

We cannot provide exam results to you directly. All results will be forwarded to the physician who ordered the exam. Your physician should expect exam results within 3 business days. Our technologists and clerical staff are prohibited from disclosing any results. Urgent cases will be sent to your physician immediately.

 

Personal Requests for Records

Patients Requiring Assistance
 

We can accommodate patients using wheelchairs provided you are able to transfer to the procedure table independent of assistance. We do not have lifts or nurse aids to assist patients. Please call if you require clarification.

 

Patient Code of Conduct

  • Cell phones: Out of respect for other guests, and our staff, please do not speak on your cell phone, or have the volume turned on while watching videos or media while at MedRay.
     

  • Perfumes and deodorants: We are a scent-free environment. Please refrain from the applying heavily scented perfumes and deodorants.
     

  • Smoking and Vaping: Smoking and/or vaping is strictly prohibited in MedRay or around the building. If needed, please smoke in the parking lot or the public sidewalks on Gordon Avenue or Christmas Way.

 

  • We expect all individuals, including patients, their guests, and our staff to treat one another with Respect and Courtesy. The safety and security of our patients and staff is our top priority. We will not tolerate abusive, violent or disrespectful behaviour. We appreciate that health care appointments are stressful but we request that you help maintain a stress free environment. Failure to maintain a respectful environment could result in a temporary or permanent ban from MedRay.
